June 6, 10-12, 2004Financial Assistance Information
Financial assistance, for travel and subsistence expenses, is available to graduate students, postdocs, and others who would otherwise be unable to attend, subject to approval by the organizers. Summer School applicants who wish to be considered for financial assistance should so indicate on their Summer School Application Form.
Note that summer school attendees must also register for the American Conference on Neutron Scattering, held in College Park, Maryland, June 6 - 10, 2004, since that meeting is an integral part of the summer school this year. Applicants may request financial support to attend the ACNS meeting when filling out the ACNS registration form.
Please note that we can only consider reimbursement of travel expenses within North America.
Participants approved for financial assistance will be reimbursed for their actual travel and subsistence expenses as follows:
Transportation:
Commercial airline or train tickets will be paid (by NIST) if and only if arrangements are made through NIST's travel agent, SATO. Attendees should contact SATO directly (at 301-975-2281 or 1-800-437-4385, ext. 2281) to make their train or airline reservations, and they should request that a copy of their itinerary be forwarded to Ms. Jeanne Fiori (301-975-6670), National Institute of Standards and Technology, 100 Bureau Drive, Stop 8563, Gaithersburg, MD 20899-8563.
You should plan to arrive and depart from the same airport or train station. You should plan to arrive on Saturday, June 5th. When you arrive, please use the Washington Metrorail or a shuttle service to travel to College Park, Maryland. Travel from Gaithersburg to the local airports or train stations can be arranged during the summer school.
Attendees driving a privately-owned-vehicle (POV) to and from the summer school will normally be reimbursed at 36 cents/mile for amounts not exceeding the cost of an airline ticket. If you wish to travel by POV then we encourage attendees from the same institution or geographical area to travel together to help reduce costs. If you're in any doubt with regard to how much you will be reimbursed you are urged to sort this out with one of the organizers BEFORE you finalize your travel plans. Attendees will be reimbursed after the Summer School upon submission of a statement of their expenses (with receipts).
Local transportation expenses between airports, etc., and the lodging sites in College Park and Gaithersburg will be reimbursed. There will be no reimbursements for car rentals, however, since transportation from hotels to the ACNS meeting in College Park, or to the NCNR in Gaithersburg, will be provided.Lodging in Gaithersburg:
Attendees are expected to pay for their accommodations at the Sleep Inn and then submit their hotel receipts along with their other receipts for reimbursement after the Summer School.Meals, etc. in Gaithersburg:
Attendees will be reimbursed after the Summer School for meals and incidental expenses at a fixed rate of $38/day. Receipts will not be required for this reimbursement.
